The problem

What is going wrong.

The website, the quoting spreadsheet, the invoicing tool and the job notes are four unconnected systems. Nobody can answer 'where is that job up to' without opening all four.

The system

What we would build.

One operational spine. The public site feeds quotes, quotes become jobs, jobs carry their own history, and every status change updates the customer without anyone writing an email.

The reasoning

Why it is shaped this way.

    One record moves from quote to job to invoice instead of being copied between four tools. Copying is where the four versions of the truth came from.

  2. 02

    A status change emits the customer update itself, so nobody has to remember to send it and nobody can forget.

  3. 03

    Every change is written to an audit trail, because who moved this job is the question that gets asked when something has gone wrong.
