What is going wrong.

Enquiries arrive by phone, email and social at all hours. Someone reads each one, checks a calendar, replies, and re-types the details into a spreadsheet. Bookings are lost to whoever answered first.

The system

What we would build.

A booking surface with real availability behind it. An agent reads each enquiry, answers the routine questions, offers real times, and writes the confirmed booking straight into the calendar and the customer record.

The reasoning

Why it is shaped this way.

  1. 01

    Availability is read at the moment of asking rather than cached. A booking system that can double-book is worse than a phone.

  2. 02

    The agent may offer times and confirm them, and nothing else. Narrow access is the design, not a restriction added afterwards.

  3. 03

    The confirmation writes to the calendar and the customer record in one step, because two steps is where the re-typing comes back.
